Privacy Policy

Colors of Heritage is a volunteer-run arts and culture programme for children and young people, held in cooperation with the International Festival of Language and Culture (IFLC). This page explains what we collect when you take part, why, and how long we keep it.

What we collect

Account details: your name, email address and a password. Passwords are stored only as a secure hash; we can never read them.

Entries: the title, description and category of each entry, the performance video you upload or the video link you share, and the name and email of the parent or guardian who consents.

Judging records: eligibility notes from coordinators, scores and comments from judges, and the published result.

Newsletter: your email address, only if you subscribe.

Technical data: a sign-in cookie that keeps you logged in, your IP address (used briefly to protect the site from abuse) and your light/dark theme choice, which stays in your own browser.

How we use it

To run the competition: checking that entries are complete and eligible, judging them, and telling you the result by email.

To send festival news if you subscribed. You can unsubscribe at any time.

We do not sell personal data, use it for advertising, or share it with anyone outside the programme except the service providers that host the site and send its emails.

Who can see your entry

Your video is never public. It can be viewed only by you, the programme's coordinators, its judges and its administrators. Judges score entries without seeing the participant's name.

If you share a YouTube, Vimeo or Google Drive link, the video stays on that service and its own privacy terms apply to it. We store only the link.

Young participants

Participants under 18 need the consent of a parent or guardian, given when the entry is submitted. A parent or guardian may contact us at any time to see, correct or delete their child's data.

How long we keep it

Performance videos are kept for 3 years from the date they were submitted and are then deleted. Videos of withdrawn entries are deleted immediately.

After a video is deleted, the entry's title, category, scores and result are kept as part of the programme's history.

Accounts stay open until you ask us to close them. Closing an account deletes its entries and videos.

Your rights

You can ask to see the data we hold about you, to correct it, to delete it, or to withdraw a consent you gave. Email us and we will respond as soon as we can.

Security

The site is served over an encrypted connection, passwords are hashed, and videos are stored privately and delivered only after checking who is asking.

Changes

If we change how we handle data, we will update this page and the date above.
